Courier cash on delivery

A delivery company collects the cash at the customer's door and pays you back later — track what each courier owes you and what you owe it.

On this page

With courier cash on delivery (COD), a delivery company collects the money from your customer when it delivers the parcel, and pays it back to you later — often a few days later, many parcels at once. LiteShop keeps a balance with each delivery company, so you always know how much it still owes you and how much you owe it for its fees.

Open it from the menu: Delivery companies (owners and managers). The words are explained in the glossary: COD, Remittance, Settlement.

#How it works

  1. You sell with COD (courier) on the charge screen (or a website order with cash on delivery).
  2. You hand the parcel to the delivery company. Now it owes you the cash it will collect — Receivable · They owe you — and you owe it its fees (COD fee, delivery) — Payable · You owe.
  3. The courier delivers and collects the money.
  4. When it pays you back, you tap Record remittance. If it took its fees out of the money, those fees are cleared at the same time.
  5. Fees billed separately? Use Record payment to courier, or Settle net to clear both sides with one payment.

The sale is counted on the day you sell, like any sale. The courier's money is not cash yet: it is not in your drawer or bank until the courier pays you back.

#Set up a delivery company

  1. Add the delivery company in Settings → Delivery (a built-in one with Add to my shop, or your own with Add your own delivery service).
  2. Open Delivery companies and tap Set up cash on delivery, then choose the company. (Or in Settings → Delivery, open … on the delivery service → Cash on delivery settings.)
  3. Switch on … collects cash on delivery for me.
  4. Check the COD fee — built-in companies show their published price; switch on I agreed a different price if yours is different.
  5. Choose Who pays the COD fee (the customer, added to the total, or you) and Delivery fee on COD orders.
  6. Under Paying you back, say if the courier takes its fees out of the money it pays back, and when it pays: a number of days after delivery (every plan), or on fixed weekdays / days of the month (Plus and up).
  7. Optional: return fee, prepaid parcels billed to the account, the courier's bank details.
  8. Tap Save. The example at the bottom shows what the customer pays and what you get back.

In Settings → Delivery, Default COD courier for this shop is the courier whose COD fee your website adds when a delivery area isn't priced by a COD courier.

#Sell with COD (courier)

  1. Ring up the sale and tap Charge.
  2. Under Shipping & Fulfillment, tap Delivery and fill in the address and the delivery area (see Delivery and pickup).
  3. Tap COD (courier) and pick the Delivery company that collects the cash. The screen shows the delivery fee, the COD fee (added to the total) when the customer pays it, and how much the courier collects.
  4. Tap Charge. The receipt says "Pay … to … on delivery".
  • Deposit first: take part of the money now (cash or QR) with a split payment, then choose COD (courier) for the rest.
  • Customer pays the courier's delivery at the door: when the courier's settings say so, your total has no delivery fee; the screen says what the customer pays the courier.
  • What comes back: the screen lists the courier's fees (its COD fee, plus its delivery charge when you pay the delivery) and about how much it pays you back — the same numbers the handover shows. When the price of its delivery isn't known yet, it says the delivery charge still comes off.
  • Website orders with cash on delivery keep the COD fee the customer was quoted when you ring them up. When the customer saw no COD fee (you pay it), the screen says so.

Gift cards can't be paid by cash on delivery.

#Hand parcels to the courier

Nothing is owed until the parcel is handed over.

  1. Open the sale in Transactions (or the parcel on the delivery company's page) and tap Hand to courier.
  2. Check the courier, type or scan the tracking number, and check the courier's delivery charge.
  3. Tap Hand over. The courier now owes you the COD.

Many parcels at once: in Transactions with the Deliveries filter, or on Delivery companies, tap Hand over parcels, choose the courier, untick the ones that stay, and hand them all over.

Payment links with cash on delivery can be handed to a courier from the link, too.

#Delivered and returned

  • Mark delivered when the courier tells you the parcel arrived (or tick it when you record the courier's payment — it is marked delivered then). If the courier collected a different amount, say so and give a reason.
  • Mark returned when the parcel comes back. The courier owes you nothing for it; its return fee (and delivery, if it charges it) stays as Payable · You owe. LiteShop then offers Cancel the sale (restock) to put the items back.
  • Send again sends a returned parcel again; Undo delivered / Undo returned take back the last step (managers, with a reason).
  • Edit tracking and Change delivery company fix mistakes before the parcel is settled.

#Record remittance

When the courier pays you back:

  1. Open the delivery company and tap Record remittance.
  2. Tick the parcels the money is for. Delivered parcels are ticked for you, oldest first.
  3. If the courier took its fees out, leave that ticked: the fees on those parcels are cleared too. Add other fees it took out (return fees, extra charges) if any.
  4. Check Amount received (filled in with what is expected), how you received it (Cash, QR Payment, Bank Transfer…) and the shop. Cash can go Into the open cash drawer, so your count at closing still matches.
  5. Tap Record remittance.

If the amount is different, LiteShop asks what to do with the difference: keep it as still owed, write it off (with a reason), or keep extra money as credit for the courier's next fees.

#Pay the courier

When the courier bills its fees separately:

  1. Tap Record payment to courier.
  2. Check the amount (filled in with what you owe) and how you paid.
  3. Tap Record payment. The payment clears the oldest fees first.

#Settle net

Settle net clears everything at once: the COD the courier owes you and the fees you owe it. Only the difference changes hands — the courier pays you, you pay the courier, or nothing moves when both are equal.

Use Adjust balance (on …) for money that isn't a parcel: a balance from before you used LiteShop, an extra charge, a discount, a correction or a write-off. Always give a reason.

#Import a courier statement

On Plus and up, match the courier's list of delivered parcels instead of ticking them one by one.

  1. Open the delivery company → … → Import courier statement.
  2. Paste the rows from Excel (select, copy, paste) or upload a CSV file (web).
  3. Check Which column is which: tracking number, status, amount collected, fees, net paid, date.
  4. Tap Check the rows. Each row shows Matches, Different amount, No such parcel, Already settled…
  5. Choose whether to use the courier's amounts where they differ (with a reason), check the amount received and tap Apply statement.

Long statements are applied in parts of 100 rows.

#How late is it?

On Plus and up, the delivery company's page shows the COD still owed by days past the payback day: Not due yet, 1–30 days late, 31–60 days late, More than 60 days late. When a courier is late, the owner gets a "Courier COD overdue" notification and a Courier cash on delivery card under Notifications. Every plan shows the next payback day and an Overdue badge.

#Refunds and returns

  • Before the courier collected: refund to Courier COD (not collected yet) — no money moves, the courier just collects less (or nothing).
  • After the courier collected (parcel delivered): refund with real money — cash, QR or another way.
  • A returned parcel: mark it returned, then Cancel the sale (restock) if the goods are back.

#Reports

  • Reports → Receivables & payables lists each delivery company with what it owes you and what you owe it.
  • The money card shows Cash on delivery still with delivery companies (not money in yet) and what the couriers paid you back.
  • The daily report has a Courier COD section; Reports → Profit counts Courier costs (COD fees, delivery, return fees).
  • Print statement makes a PDF of every entry and the parcels still open, to check the numbers with the courier.
  • Exports: Couriers – ledger and the courier parcels list.

#Offline

COD (courier) works offline on the charge screen with the couriers your register already knows. When the sale syncs, LiteShop checks the courier again; if it no longer collects cash on delivery, the sale waits with Choose delivery company. Handing over, marking delivered and recording payments need the internet.

#Plans

Every plan: COD (courier) at checkout, handover, delivered / returned, balances, remittances, payments, settle net, adjustments, history, the PDF statement, "days after delivery" payback and the Overdue badge.

Plus and up add weekly / monthly payback days, How late is it?, overdue alerts and statement import. Nothing is deleted when a plan ends.
