Time clock and commission

Staff clock in and out with a passcode or their own phone, take breaks, and you see timesheets, fix mistakes with a reason, and pay commission.

On this page

The time clock records when each person works. Commission pays each person a share of what they sold. Both are on the Plus, Pro and Ultra plans. On Free, past timesheets stay readable and clocking out always works.

LiteShop counts two kinds of staff (see Team and roles):

  • Team members with a passcode clock in at the shared register.
  • People with their own sign-in clock in on their own phone.

If someone has both, link them (Team > member > Their own sign-in (optional)) so their hours and sales count as one person.

#Clock in and out at the register

Team members clock in with their passcode. LiteShop checks the passcode on its server, so this also works on a register signed in with a cashier account.

When to use: at the start and end of every shift.

  1. Tap your initials (the account menu) and tap Clock in / out. Or unlock the register with your passcode.
  2. Tap your name.
  3. Type your passcode and tap Continue.
  4. Tap Clock in. If you have more than one shop, choose the Shop first.
  5. At the end of your shift, open Clock in / out again and tap Clock out.

The panel shows Today and This week, so you can check your hours.

#Clock in on your own phone

Staff who sign in with their own account clock in as themselves.

When to use: when a manager or cashier has LiteShop on their own phone.

  1. Open LiteShop on your phone.
  2. Tap your initials and tap Clock in / out.
  3. Tap Me.
  4. Tap Clock in, and later Clock out.

Your hours are read-only. Ask a manager if something is wrong.

#Breaks

Breaks come off the worked hours, unless breaks are paid.

When to use: for lunch and other breaks during a shift.

  1. Open Clock in / out and pick yourself.
  2. Tap Start break.
  3. When you are back, tap End break.

Clocking out also ends a break that is still running.

To choose whether breaks are paid:

  1. Open Team > Time clock.
  2. Tap Time clock settings.
  3. Turn Breaks are paid on or off.
  4. Tap Save.

Example: 9:00 to 17:00 with a 1 hour unpaid break = 7 hours worked.

#Timesheets

Timesheets show each person's hours for a day, week, month or any dates.

When to use: before you pay wages.

  1. Open Team > Time clock.
  2. Choose the period: Today, This week, This month or Custom. Use ‹ › to move back and forward.
  3. Optional: choose a shop.
  4. Tap a person to see each day and each shift.
  5. Tap Download CSV to get a file for Excel or your accountant.

A shift counts on the day it started, in your business's time zone. A night shift from 22:00 to 06:00 counts on the first day. In Reports > Staff, when your business day starts later than midnight (see Shops open past midnight), a shift that starts at 2:00 AM counts for the business day before, like the sales.

Overtime: in Time clock settings, set Overtime after (hours per day), for example 8. A 10-hour day then shows 2 hours of overtime.

If a member has an Hourly wage (optional), the timesheet shows a pay estimate (worked hours × wage).

#Fix a shift

Owners and managers can change a shift, add a missed shift, or delete one. Every change needs a reason, and LiteShop keeps a history of who changed what and why.

When to use: when someone forgot to clock in or out, or clocked in by mistake.

  1. Open Team > Time clock.
  2. Tap the person, then tap the shift. Or tap Add missed shift.
  3. Change the Date, Clock in, Clock out or the Breaks.
  4. Type the Reason (required), for example "Forgot to clock out, left at 17:00".
  5. Tap Save. To remove a shift, tap Delete.

The history shows at the bottom of the shift. Changed shifts show Edited.

#Commission

Commission pays each person a % of what they sold.

When to use: when you reward staff for their sales.

  1. Open Team > Commission.
  2. Turn on Pay commission.
  3. Type a % for Everyone, or for each person under Per person.
  4. Optional: set a % Per category or Per item (tap Add item).
  5. Tap Save.

How it is counted:

  • On what was sold after discounts, without tax, shipping or tips.
  • The most specific rule wins: item, then category, then person, then everyone.
  • Refunds come off the commission of the person who made the sale, on the day of the refund.
  • A sale counts for the team member who unlocked the register, or for the signed-in account.
  • Each sale keeps the rate it was sold at. If you change a rule later, only new sales use it, and a refund comes off at the sale's own rate. Sales from before this was added use today's rules: the Staff report marks them current rules.

Example: Su sells a shirt for 10,000 Ks with a 1,000 Ks discount. Shirts (category) pay 5%. Su earns 450 Ks.

#Staff report

The Staff report shows hours and sales for each person.

When to use: at the end of a week or month.

  1. Open Reports > Staff.
  2. Choose the period and the shop.
  3. Hours shows worked hours, overtime and the pay estimate.
  4. Sales and commission shows sales, refunds, net sales and commission for each person.
  5. Tap a person to see each sale and refund.
  6. Tap the download icon to get the CSV.
