Credit sales (debt book)
Sell to regular customers now and let them pay later, see what each customer owes, collect payments, send reminders with a pay link, and see who is late.
Many shops let regular customers take goods now and pay later. LiteShop keeps this debt book for you: every sale on credit adds to the customer's balance, every payment takes it down, and you always see who owes you what.
Money customers owe you is your receivable — the app shows it as Receivable · They owe you (see the glossary). Reports → Receivables & payables puts it next to what you owe suppliers (see Receivables & payables).
Selling on credit, balances, the debt book, payments and reminders work on every plan. Credit limits, due dates, overdue lists and aging are on Plus and up.
#Sell on credit
When to use: a customer takes the goods today and pays later (all of it or part of it).
- Add the items to the cart and pick the Customer (or add a new one).
- Tap Charge and choose On Credit.
- Check the box under the tiles: Owes you now, After this sale and, on Plus and up, Pay by with the due date.
- Tap Charge to finish.
The receipt shows You owed before, On credit (this sale), You owe now and Pay by, so the customer knows their balance. (Receipts speak to the customer, so they say "You owe".)
To take part of the money now, tap Split: add the cash (or QR) the customer pays now, then add On Credit for the rest.
For an expensive item paid every month (a down payment now and equal monthly payments), use Pay monthly under On Credit: see Instalments.
Owners and managers can switch On Credit off in Settings → Customers → Credit sales. Customers can still pay back what they owe.
Offline, the receipt still shows the balance: the last balance the register knew, plus credit sales on this register that haven't synced yet, plus this sale, with Balance updates when online under it. Two offline sales on credit for the same customer add up, and the credit limit counts them too. When the sale syncs, LiteShop works out the real balance and the receipt shows it.
#Collect a payment
When to use: the customer pays back some or all of what they owe. This is not a new sale.
- Open Customers and tap the customer, or pick the customer on the cart and tap Collect payment in the yellow Owes you box.
- Tap Record payment.
- Type the Amount received (or tap All) and choose Paid by.
- For QR Payment, show your QR code, then tick I checked this payment in our banking app. With several QR codes, tap the one the customer paid to: the payment is saved to the QR account that shows the tick.
- Tap Record.
The payment pays off the oldest debts first. Cash goes into the register's open cash drawer, so the drawer's expected cash stays right. Each payment is saved once, even if the internet drops and you tap again.
To fix a balance (money owed from your old notebook, a write-off, a mistake), owners and managers tap Adjust, choose Owes you more or Owes you less and write the reason.
#Credit limits
When to use: you want to stop a customer from owing more than a set amount. (Plus and up)
- Open the customer and tap Credit terms.
- Type the Credit limit (leave it empty for no limit).
- Tap Save.
When a sale on credit would take the customer over the limit, the charge screen says by how much. A manager can tap Approve over limit and write the reason (it is saved with the sale), or the cashier takes part of the payment now with Split. In Settings → Customers → Credit sales you choose Manager approves or Never for sales over the limit.
#Due dates
Each sale on credit is due a number of days after the sale (Plus and up). The shop's default is in Settings → Customers → Credit sales → Days to pay (30 days unless you change it). For one customer, set other days in their Credit terms.
The due date prints on the receipt as Pay by, and the customer page shows Next due and a red Overdue amount when a payment is late.
When a customer is late, LiteShop tells owners and managers once a day (9:00): on the day after the due date, then after 7 and after 30 days. The alert is in Alerts → Overdue credit (and as a push or Telegram message under Payments), with Send reminder for that customer. It never shows the customer's phone number in the message.
#Who owes you (receivables)
Open Reports → Credit (Receivable · They owe you) to see:
- Customers owe you: the total of all balances;
- Sold on credit and Credit collected in the period you picked;
- How late is it? (Plus and up): what customers owe you, by days past the due date — Not due yet, 1–30 days late, 31–60 days late, More than 60 days late;
- Customers who owe you, most owed first. Tap a customer for their debt book.
On the Customers page, tap Owes you to list only customers who owe you, most owed first. It finds every customer who owes you (not just the ones already on screen) and shows at the top how many customers owe you and the total. Search works inside this list too. The customer page shows the balance as Receivable · They owe you.
#Send a reminder
When to use: a customer should pay, or a payment is late.
- Open the customer and tap Send reminder.
- Keep Add a link to pay by QR on if the customer should pay from their phone.
- Tap Viber, Telegram, SMS, Copy or Share.
The message has your shop's name, what the customer owes and the due date, in the app's language. The link opens a page that says what they owe; the customer pays by QR and sends the screenshot, like any payment link. In Online orders → Payment links, tap Payment received after you checked your banking app: the payment is recorded in the customer's debt book.
#Refunds and voids
When a customer returns goods they bought on credit:
- Open Transactions and the sale, then tap Issue refund.
- Choose the items. Refund to shows Back to credit balance.
- Tap Refund.
The refund lowers what the customer owes for that sale first. If they already paid part of it, the rest lowers their other debts, and anything left becomes store credit they can spend later. Voiding a sale on credit takes all of it off their balance.
