Receivables & payables
One report with what others owe you, what you owe others and the net, for a period and a shop.
Reports → Receivables & payables shows in one place the money that is still owed — to you and by you. Use it to see how much of your money is still outside the shop, and which bills are waiting. The words are explained in the glossary.
#The overview
- Open Reports and tap the Receivables & payables tab.
- Pick the period and the shop at the top, as on the other reports.
You see:
- the Net at the top, with the two totals: Receivable · They owe you and Payable · You owe;
- for each side: what is owed now, New this period, Collected this period (customers) or Paid this period (suppliers), and Refunds & write-offs;
- on Plus and up, Overdue, Due in 7 days and How late is it?;
- Who owes you most and Whom you owe most.
Tap See customers who owe you to open Reports → Credit, or See suppliers you owe to open Suppliers.
The totals are on every plan. Overdue amounts and aging need a paid plan (Plus and up). Only owners and managers see payables.
Delivery companies that collect cash on delivery for you are listed too: the COD they still owe you is a receivable, their fees a payable. Tap See delivery companies to open Delivery companies.
#Receivable · They owe you
What customers owe you for sales on credit (and a supplier that owes you money back).
- New this period: sold on credit, and balances added by a manager (for example an opening balance from your old notebook).
- Collected this period: payments customers made on what they owe. They are not sales: the sale was counted on the day it was made.
- Refunds & write-offs: refunds and voids of credit sales, and amounts a manager took off.
An invoice (Invoice — pay later) is a sale on credit too: its total is a receivable until the customer pays.
#Payable · You owe
What you owe suppliers for purchases on credit (see Payables).
- New this period: bought on credit, and balances you added.
- Paid this period: what you paid suppliers.
- Refunds & write-offs: returned goods and corrections.
#Net
Net = receivable − payable.
- Net: they owe you X — you are owed more than you owe.
- Net: you owe X — you owe more than you are owed.
- Net: nothing owed — both are the same.
#How late is it?
On Plus and up, each side shows its unpaid amounts by days past the due date: Not due yet, 1–30 days late, 31–60 days late, More than 60 days late (and No due date for customer sales without one). Overdue is everything past its due date. See Aging.
#One shop or all shops
Balances belong to a customer or a supplier, not to a shop.
- With All shops, the totals are the balances of all customers and suppliers.
- With one shop, the report adds the unpaid sales and purchases of that shop. Amounts not linked to a shop (for example a balance a manager added) count only under All shops.
- A business with one shop always sees the full balances.
