Payables (what you owe suppliers)

Buy from suppliers on credit, see what you owe each supplier and when it is due, pay them (also from the cash drawer) and see how late your bills are.

On this page

Many shops buy stock now and pay the supplier later. LiteShop keeps that book for you: every purchase on credit adds to the supplier's balance, and every payment takes it down. You always see what you owe, what is due soon and what is late.

Money you owe is your payable — the app shows it as Payable · You owe (see the glossary). Reports → Receivables & payables puts it next to what customers owe you (see Receivables & payables).

Supplier payables are on the Plus plan and up. On Free, purchases are simply paid or unpaid, and an old balance stays readable.

#Buy on credit

When to use: you receive goods today and pay the supplier (part of it) later.

  1. Open Items → Record purchase, or receive a purchase order in Inventory.
  2. Pick the supplier and add the items as usual.
  3. Under Costs & terms, turn Paid off.
  4. Type what you pay today in Paid now (0 if you pay it all later) and choose how you paid in Paid with.
  5. Check the yellow note: it says how much you will owe and when it is due.
  6. Tap Save.

The rest is added to the supplier's Payable · You owe. The due date comes from Payment terms (net days): the supplier's terms fill it in for you.

#Pay a supplier

When to use: you pay a supplier some or all of what you owe.

  1. Open Suppliers and tap the supplier.
  2. In Payable · You owe, tap Record payment.
  3. Type the Amount paid (or tap Pay all) and choose Paid with. For QR Payment, tap the QR account the money left under Paid from QR account (the first one is ticked until you tap another), so Business finance books it to that account. The purchase form asks the same for its paid-now part.
  4. Optional: add a note, for example the receipt number.
  5. Check This pays off, oldest first: the payment goes to the oldest purchase first.
  6. Tap Record payment.

You can never pay more than you owe. Each payment is saved once, even if the internet drops and you tap again. The History list shows every purchase, payment and correction with the balance after it.

To fix a balance (money you owed before LiteShop, a discount, goods you sent back), tap Adjust balance, choose You owe more, You owe less or Returned goods, and write the reason.

#Payables: what you owe

The Payables card on the Suppliers page (it used to be called "What I owe") shows:

  • You owe now: the total you owe all suppliers;
  • Overdue: past the due date, pay these first;
  • Due in 7 days;
  • the suppliers you owe most, with a red Overdue or a Due date.

Tap See report for every supplier you owe. In the supplier list you can also sort by Payable and filter Status: You owe.

#How late is it? (aging)

Aging groups what you owe by how many days it is past the due date:

GroupMeaning
Not duethe due date is today or later
0–30 days late1 to 30 days past the due date
31–60 days late31 to 60 days past the due date
60+ days latemore than 60 days past the due date

A purchase without a due date counts as due on the day you bought it.

#Pay from the cash drawer

When to use: you pay the supplier in cash from the till.

  1. In Record payment, choose Cash.
  2. Turn on Paid from the cash drawer (shown when a drawer is open in this shop).
  3. Tap Record payment.

LiteShop also records a Pay out on the open drawer, so the cash you count when you end the drawer still matches.
