Where the money is
See in every report how much came in as cash, on each QR account (by the names you gave them), by other ways to pay, what customers still owe you and what you owe suppliers — and tap any of them to see the sales.
Every report starts with one card: Where the money is. It answers "where did today's money go?" in one line, for example:
Cash: 450,000 · QR: 320,000 (KBZPay – Main shop 200,000, WavePay – counter 120,000) · Other: 30,000 · Receivable: 85,000 · Payable: 120,000
The card is on Reports → Sales and Profit, on the Daily report and in the Telegram daily message. The cash drawer report shows the same split for one drawer. Owners and managers see it on every plan.
#The summary card
When to use: at the end of the day or the month, to check the money before you count the drawer or look at your banking apps.
- Cash: cash taken on sales minus cash given back on refunds.
- QR: one tile for each QR code, with the name you gave it in Settings → Payments (for example "KBZPay – Main shop").
- Other: card, mobile wallet, bank transfer and your other ways to pay.
- Receivable (they owe you): what customers still owe you now. Payable (you owe): what you owe suppliers now. The line under the tiles shows the net.
Tap a tile to open Transactions with only the sales paid that way, for the same days and shop. Tap Receivable or Payable to open Receivables & payables. Tap Details to see every method and QR account with what came in, what was refunded and the net.
#Money by payment method
The numbers follow the same rules as Reports → Sales:
- A sale counts on the day it was made; a refund counts on the day it was given.
- A split payment counts in each method: a sale paid 5,000 by QR and 1,000 in cash adds 5,000 to QR and 1,000 to Cash.
- A refund comes off the method it was given back with.
- Voided sales don't count anywhere.
The Payments by method export has the same numbers, with one extra row per QR account.
#QR accounts
Each QR payment remembers which QR code the customer paid: the one shown on the charge screen, the one a customer chose on your website or payment link. LiteShop keeps the name the QR had at that moment, so renaming or deleting a QR code later does not change old reports.
- Open Settings → Payments.
- Give every QR code a clear name, for example KBZPay – Main shop or WavePay – counter.
A QR refund comes off the QR account the sale was paid to (split in proportion when one sale was paid to two QR codes).
#Cash in the drawer
The cash drawer and its report show where the cash came from and where it went:
- Starting cash, Cash sales, Cash refunds;
- Credit repayments in cash: customers paying back credit with the drawer open;
- Paid in (other cash put in);
- Supplier payments from the drawer and Expenses paid from the drawer;
- Paid out (other cash taken out);
- Expected in drawer, Actual cash counted and the difference.
To record an expense paid from the drawer, tap Pay out, type the amount and reason, and tick Shop expense. Pick its Expense category: LiteShop also adds it to Expenses, so Profit and the daily report count it (once).
#In the daily report
The Daily report has the same card, each QR account under Payments, debts collected by method, and each ended drawer's cash lines. The Telegram and phone message adds one line, for example "Money in: Cash 450,000 · QR 320,000 (KBZPay – Main shop 200,000, WavePay – counter 120,000)", and one with what is owed: "Receivable: 85,000 · Payable: 120,000 · Net: you owe 35,000".
#Layaway and repair deposits
Money a customer pays on a layaway or as a repair deposit is not a sale yet. It is the customer's money that you hold until they collect their things (a customer deposit). The sale counts on the day they collect.
- Where the money is (Reports → Sales and Profit) shows a note under the tiles: Layaway payments and Repair deposits of the period, by cash and QR account. Tap the note to see each account and what was paid back.
- Cash drawer: these payments in cash are a pay in ("Layaway payment · LW-000001", "Repair deposit · RJ-000001"); cash given back is a pay out.
- Reports → Receivables & payables shows Layaway deposits · You hold for customers. The Layaways and Repairs pages show Deposits you hold.
- The daily report text and the Payments by method export list them apart from sales.
- In Business finance they are under what you owe.
#Older sales and reports
