Reseller portal

Let your resellers and agents order online at their own prices — on credit within the limit you set, or paid now by QR — and see what they owe. They open their own link and sign in with a PIN; orders arrive in Online orders.

On this page

Many shops sell through resellers or agents — people who buy from you and sell again, often on Facebook. With the Reseller portal each reseller opens a private web page on their phone, signs in with their own link and a PIN you give them, sees your items at their price list, and orders on credit (within the credit limit you set) or pays now by QR. Their orders arrive in Online orders with a Reseller badge.

The Reseller portal is on the Pro plan and up. Pro includes up to 20 resellers; Ultra has no limit.

#How it works

  1. You add a reseller: pick the customer, choose their price list, credit limit and how they may pay. LiteShop makes a PIN for them.
  2. You send the link and the PIN: share the link by Viber, Telegram or Messenger, and send the PIN separately (for example by a phone call).
  3. The reseller opens the link and types the PIN. Their phone stays signed in, so they only do this once per phone.
  4. They order: search your items, add to the cart, choose pickup or delivery and pay on credit or by QR.
  5. You prepare and hand over the order in Online orders, then tap Complete order. LiteShop makes the sale at the reseller's prices and, for a credit order, adds it to what they owe.

#Turn the Reseller portal on

The Reseller portal is off until you turn it on.

  1. Open Settings → Features.
  2. Turn on Reseller portal.

New shops answer Do resellers or agents buy from you to resell? when they set up LiteShop. Once it is on, Resellers appears in the menu next to Customers.

Reseller orders go to your Online orders, so set up your online store for that shop first (it doesn't have to be published).

#Add a reseller

  1. Open Resellers and tap Add reseller.
  2. Pick the customer (or create a new one).
  3. Fill in: - Mobile number — optional, for your records (for example 09 777 123 456). - PIN — LiteShop makes a 6-digit PIN; or turn on Choose my own PIN and type 4 to 6 digits (easy ones like 1234 or 0000 are refused). - Shop — the shop whose stock they order from. - Price list — their prices (see Price lists). Leave it on Retail prices to charge normal prices. - Credit limit and Pay within (days) — how much they may owe and when it is due. A reseller without a credit limit can't order on credit. - How they pay — On credit, Pay now (QR) or Both. - Minimum order — for example 50,000 Ks (0 = none). - Delivery — allow delivery and type their address; the delivery fee comes from your delivery zones. - Show stock numbers — off shows only In stock, Low stock or Out of stock.
  4. Tap Save. The PIN is shown once: tap Copy or Share PIN and send it to the reseller.

The price list, credit limit and due days are saved on the customer, so the same prices and limit apply when they buy at your counter.

Turn Active off to pause a reseller: their phones are signed out. They can sign in again with their PIN to see and pay what they owe, but can't order.

#Send the invite

Tap Invite on the reseller and send the message by Viber, Telegram, Messenger or copy it. The link looks like store.liteshop.app/w/… and belongs to that reseller.

If a link was shared with the wrong person, tap Reset invite link: the old link stops working and every phone of that reseller is signed out. The PIN stays the same.

#How resellers sign in

The reseller opens their link, types their PIN and taps Sign in. Their phone remembers the sign-in for 90 days after they last used it, so they don't need the PIN every time. Sign out on the page forgets it on that phone. Nothing is sent by text message and no account is needed.

  • A wrong PIN says only "This link and PIN don't match" — the same as any other mistake.
  • After 5 wrong PINs the reseller is locked for 15 minutes; if it happens again, the lock gets longer (up to a day). While locked, even the right PIN waits. The reseller's row in Resellers shows Locked and you can tap Unlock.
  • Forgot the PIN? The reseller asks you. Tap Reset PIN on their row: you get a new PIN to send, the old one stops working and their phones are signed out.
  • Sign out all devices (on the reseller's row) signs every phone out without changing the PIN.

LiteShop keeps only a scrambled form of the PIN — nobody, not even you, can read it back later. If you lose it, reset it.

#What resellers see

  • Your active items with their price (and quantity prices like "From 50: 700 Ks" from the price list).
  • In stock, Low stock or Out of stock (numbers only if you allow it). Low stock means 5 or fewer, or the number you set in Settings.
  • Search and categories.

Items sold by weight, digital items and gift cards are not on the portal.

#Ordering

In the cart the reseller sees the total exactly as LiteShop will charge it (tax and delivery included), the minimum order, and how much credit they have left. Prices are always worked out by LiteShop's server — nobody can change them on the page.

When they tap Place order, LiteShop holds the stock for the order, so it can't be sold to someone else meanwhile. Tapping twice never makes two orders.

#Orders on credit

A credit order is placed only when what they owe + their open credit orders + this order fits their credit limit. For example: limit 500,000 Ks, they owe 200,000 Ks and have an open order of 150,000 Ks → they can order up to 150,000 Ks more on credit.

  • With Block credit orders while overdue on (Settings → Customers → Reseller portal), a reseller with an overdue balance must pay first.
  • An order over the limit is refused, and you get a Reseller over the credit limit alert.
  • Credit orders are confirmed at once (status Accepted). The debt starts when you Complete order, with the due date from that day.

#Paying now by QR

A Pay now order shows your QR codes. The reseller pays in their banking app and sends the screenshot, which LiteShop checks like any online QR payment. You check it in your banking app and tap Payment received in Online orders. An unpaid QR order is cancelled after 48 hours, like other online orders.

#Handling reseller orders

Reseller orders appear in Online orders with a Reseller badge. Accept, prepare, mark ready or hand over to a delivery company as usual. To finish, tap Complete order (instead of Ring up in checkout):

  • On credit: the sale is made at the reseller's prices and added to what they owe.
  • QR: first tap Payment received, then Complete order.

If the reseller now owes more than their limit (for example they bought on credit at the counter meanwhile), LiteShop asks a manager to approve with a reason.

#The reseller's account

On the Account tab the reseller sees what they owe, their credit limit and credit left, the next due date, how much is overdue, their open debts and their last orders with the status. They can Order again from a past order and Pay what I owe by QR (a payment link, like debt payment links).

#Alerts

  • New reseller order — a credit order was placed (QR orders arrive as new online orders).
  • Reseller over the credit limit — a reseller tried to order more than their credit allows.

They show in Alerts and as push or Telegram messages if you turned those on (see Alerts).

#Reports

Reports → Sales → Sales by reseller shows what each reseller bought. What they owe is in Reports → Credit and Receivables.

#Settings

Settings → Customers → Reseller portal:

  • Block credit orders while overdue (on by default).
  • Low stock at — when resellers see Low stock (default 5).
  • Welcome text — a short message on the portal, for example your delivery days.

If your plan changes to one without the portal, your resellers and their orders stay. They can still sign in to see and pay what they owe, but can't place new orders. See Plans.

#Privacy and security

  • Each reseller has their own link (a long secret code) and a PIN. Both are needed to sign in; the link alone can't.
  • LiteShop stores the PIN only in a scrambled (hashed) form and limits wrong tries per reseller, per link and per internet connection.
  • Resellers only see their own prices, orders and balance — never your costs, other customers or staff.
  • Paused or removed resellers, a new PIN or a new link sign their phones out at once.
