Repairs & service
Take in a customer's phone, TV, bike, watch or dress, track the work, ask the customer to agree to the price, use parts from your stock, and hand it back with one sale — with a claim slip, a tracking link and a repair warranty.
A customer brings a phone with a cracked screen. With Repairs you write a repair job (the item, the problem, what they left with you), give them a claim slip, track the work, and when it is done you hand it back and take the money in one step. It works for any repair or service shop: phones and electronics, bikes and motorbikes, watches, tailoring and more.
Every job has a number like RJ-000001. Free takes in up to 10 repair jobs a month. Plus and up has no limit and adds parts from your stock, technicians, the customer tracking link (with Approve / Decline and a payment link), photos and a repair warranty.
#How it works
- Take in: write the job, take a deposit if you want, print or share the claim slip.
- Work on it: change the status as you go (checking, waiting for parts, repairing…), add notes, labour and parts.
- Ask the customer: send the price (estimate); the customer taps Yes, go ahead or No on their phone, or you note their answer after a call.
- Collect: when it is ready, tap Collect. LiteShop makes the sale (labour + parts), uses the deposit, takes the parts out of stock and gives a receipt.
#Turn Repairs on
Repairs is off until you turn it on, so shops that don't repair things never see it.
- Open Settings → Features.
- Turn on Repairs & service.
New shops answer Do you repair or service customers' things? when they set up LiteShop. Once it is on, Repairs appears in the menu under the selling pages (on phones: tap More).
#Take in a job
- Open Repairs and tap Take in.
- Pick the Customer or add a new one. A phone number is needed so you can tell them when it is ready.
- Write the Item (for example "Samsung A54", "Honda Wave", "Wedding dress") and Problem / what to do.
- Optional: Serial / ID, Condition (scratches, dents), the Accessories left with you (tap the chips, like Charger or Case, or type them), Photos (Plus), Promised by date and Estimate.
- Optional: a Deposit and how they paid (Cash, QR Payment or another method you use).
- Tap Take in.
#Claim slip and tag
After you take a job in, tap Print claim slip to print it on your receipt printer or share it as a picture or PDF. It shows the job number, the customer, the item, the problem, the promised date, the deposit and your terms (from Settings → Repairs). On Plus it has a QR code to the customer's tracking page.
Tap Print tag for a small label to stick on the item, so it never gets mixed up with another customer's. If you use Barcode labels, the tag prints on your label printer (your default label size: sheet, ESC/POS or TSPL) with the job number as a barcode; otherwise it prints on the receipt printer.
#Status
Open the job and tap Change status:
| Status | Means |
|---|---|
| Received | The item is in the shop. |
| Checking | You are finding out what is wrong. |
| Waiting for customer OK | You sent the price and wait for the customer's answer. |
| Waiting for parts | You ordered a part. |
| Repairing | You are working on it. |
| Ready to collect | Done — the customer can come. |
| Collected | Handed back and paid. |
| Cancelled / Returned not repaired | Closed without the repair. |
You can skip steps. Every change is written in the job's timeline with who did it and when, and you can add a note. When a job is past its promised date and not ready, it shows as Overdue.
#Charges: labour and parts
- Labour / service: tap Add labour, describe the work and type the price. Prices and discounts are for owners and managers (a manager passcode works).
- Parts (Plus): tap Add part and pick it from your items. The part is kept for the job: it shows as held on the item tiles and other customers can't buy it. It leaves your stock only when the customer collects. Removing a part frees it again.
The charges are priced exactly like a sale at Checkout: your shop's tax, item discounts, price lists, automatic promotions and membership discounts apply to parts (promotions apply to labour only when their own rules include it). The price is saved on the job each time the charges change and is the price charged when the customer collects.
- Parts sold by weight (oil, wire, fabric …): type how much you used, for example 0.75 kg. Exactly that weight is kept for the job and leaves your stock at collection.
- Phones and other serial / IMEI items: pick the serial of the unit you fit. It is kept for this job (no other job or sale can take it) and becomes sold — with its normal warranty — when the customer collects. Removing the part or cancelling the job frees it.
- Digital items (codes, top-ups, files) can't be parts: sell them at Checkout.
The job shows the Total (with tax and discounts), the Deposit paid and what is Left to pay.
#Estimate and the customer's OK
An estimate you tell the customer at the counter counts as agreed. To ask them by phone:
- Tap Send estimate, type the amount and send.
- The job moves to Waiting for customer OK and the customer sees Yes, go ahead / No, don't repair on their tracking page.
- You get an alert with their answer. After Yes, the job moves to Repairing.
If the final price grows more than the % in Settings (10% unless you change it) above what the customer agreed, LiteShop asks for their OK again before you can mark it ready or collect it. A manager can also note the customer's answer after a phone call.
#Customer tracking link
On Plus every job has its own page for the customer: the status and timeline, the promised date, the charges, the deposit and what is left. Tap Share tracking link to send it by Viber, Telegram, Messenger or SMS. The page never shows phone numbers, staff names or your notes.
#Deposits
A deposit is the customer's money that you hold until they collect: it is not a sale yet. Cash goes into the open cash drawer as a pay in ("Repair deposit · RJ-000001"). Tap Take deposit to take more later, or Payment link (Plus) so the customer pays the balance from their phone. Settings can ask for a smallest deposit as a % of the estimate.
#Collect
- Open the job and tap Collect.
- LiteShop shows the total, the deposit used and what to pay now.
- Choose how they pay the rest (Cash, QR Payment, another method, or On credit when you sell on credit) and confirm.
The sale has the labour and the parts, the deposit is used as Repair deposit, the parts leave your stock, and the receipt prints or shares like any sale. If the deposit was more than the final price, the difference goes back to the customer (cash or store credit, as set in Settings).
#Return not repaired, or cancel
- Return not repaired: the item can't be fixed or the customer said no. Owners and managers choose the checking fee (from Settings unless changed). The fee (plus your shop's tax) is taken from the deposit (and the rest paid now if the deposit is smaller) and saved as a small sale; the rest of the deposit goes back as cash or store credit.
- Cancel job: taken in by mistake or the customer changed their mind — no fee, the whole deposit goes back.
Parts kept for the job are freed in both cases.
#Warranty
On Plus a collected repair has a warranty (30 days unless you change it in Settings or on the job). If the same problem comes back in time, open the old job and tap Warranty return: LiteShop opens a new linked job where labour is free. Parts are charged unless you mark them as given under warranty. After the warranty date the button says it is no longer in warranty.
#Technicians
On Plus you can give each job to a team member. Anyone on the team can take a job, change its status and add notes and parts. Tap My jobs to see only yours. Giving someone else's job to another person, prices, discounts, returns and cancelling are for owners and managers.
#Alerts
LiteShop tells you (Alerts page, push and Telegram if you use them):
- a job is late (past the promised date and not ready) — once per promised date;
- the customer approved or declined the price;
- a job is ready to collect.
Tap the alert to open the job.
#Settings
Settings → Repairs:
- Terms on the claim slip (for example "Items not collected in 60 days…").
- Warranty days (default 30).
- Ask again when the price goes up by more than (%, default 10).
- Smallest deposit (% of the estimate, default 0 = optional).
- Deposit back on cancel / return: refund or store credit.
- Checking fee suggested when you return an item not repaired.
- Accessories chips shown when you take a job in.
#Money and reports
- Deposits are a payable (the customer's money) until the job is collected.
- The repair counts as a sale, in your sales and reports, on the day it is collected. The sale shows the job number.
- A checking fee counts as a small sale on the day of the return.
- Reports show a Repairs summary: jobs taken in and collected, the average days, and jobs per technician.
- Refunds of a repair sale work like any sale; the deposit part can go back as cash.
