Quotations & invoices

Send a price offer the customer accepts on a link, turn it into a sale, a payment link or an invoice, and let customers pay invoices later.

On this page

A quotation is a price offer: the items, prices, discounts and total, valid until a date. The customer opens a link, checks it and taps Accept or Decline. An invoice is a sale the customer pays later: they take the items now and the total goes on what they owe you.

Find both in Transactions → Quotes & invoices.

#Make a quotation

When to use: a customer asks "how much for all of this?" and wants to decide later, or a business wants a written offer.

  1. In Checkout, add the items to the cart. Pick the Customer if you know them (or type a name and phone in the next step).
  2. Tap ⋮ → Save as quotation, or tap Charge and choose Save as quotation under Not paying now?.
  3. Check Valid until (14 days by default) and add a note if you like.
  4. Tap Save quotation.

The prices are locked when you save: if you change your prices later, the quotation keeps the old ones until it expires. Each quotation gets its own number, like Q-000012.

#Share it with the customer

After saving, the share sheet opens: send the link by Viber, Telegram, Messenger or SMS, Copy link, let the customer scan the QR code, or tap Share PDF for an A4 document.

The customer's page shows your shop, the items, the total, the date it is valid until, your note and terms, and two buttons: Accept and Decline. They can add their name and a message. You get an alert when they answer.

You can share again any time from the quotation's detail (Share, PDF).

#Turn a quotation into a sale

Open the quotation in Transactions → Quotes & invoices. While it is waiting for an answer or accepted (and not expired), you can:

  • Ring up now — the cart gets the quoted items at the quoted prices. Tap Charge and take the money as usual. If you change the cart, it is charged at today's prices instead.
  • Send payment link — the customer pays on their phone (see Payment links). If your prices changed since the quotation, LiteShop asks you to re-quote first.
  • Make invoice — the customer takes the items now and pays later (below).

An expired quotation can't be accepted or rung up. Tap Re-quote: the items go into the cart at today's prices; tap ⋮ → Save as quotation to send a new one with a new number.

Owners and managers can Cancel quotation with a reason.

#Invoices: sell now, get paid later

When to use: a business customer or a regular takes the goods today and pays by a date.

  1. Make the cart (or open a quotation and tap Make invoice).
  2. Tap ⋮ → Invoice — pay later (or Charge → Invoice — pay later).
  3. Pick the Customer — an invoice always needs one.
  4. Choose When to pay: Net 7, Net 15, Net 30 or Other (Plus). On Free invoices are Due on receipt.
  5. Tap Make invoice.

The invoice is a sale on credit: stock goes out now, and the total is added to what the customer owes you (see Credit sales). Each invoice gets a number like INV-000003. The customer's link shows the balance, the due date, your QR accounts and a Pay button when you add one.

To void an invoice, open it and tap Open the sale (refund / void) — owners and managers void it like any sale.

#Record payments

When the customer pays, open the invoice and tap Record payment. The amount goes to this invoice first; anything more pays their other debts. The invoice shows Part paid, then Paid, and the customer's page updates too.

Tap Add a Pay button to make a payment link for what is left: the customer pays by QR on their phone and the payment is recorded for you. A link sent from an invoice pays that invoice first (the pay page says "Pays invoice INV-000003"); only money above it goes to the customer's older debts.

#Reminders

On Plus, tap Send reminder on an unpaid invoice: a ready message with the balance, the due date and the link opens for Viber, Telegram or SMS. Late invoices show Overdue in the list, and the usual overdue credit alerts come too.

The Alerts page has a Quotations & invoices card for owners and managers: customers who accepted or declined a quotation (tap Open, then Mark reviewed) and invoices past their due date (tap one to open it).

#Settings

Settings → Checkout → Quotations & invoices (owners and managers):

  • Quotations stay valid for — days (14 by default).
  • Days to pay an invoice — the default for new invoices (Plus).
  • Terms on quotations and invoices — e.g. "50% deposit to order" (Plus).
  • Show your logo — your business logo on the PDF and the customer's page (Plus).
  • Numbers — the prefixes, e.g. Q and INV.

#Plans

  • Free: quotations and invoices, up to 10 a month together, due on receipt, your shop name on top.
  • Plus and up: unlimited, due dates, reminders, your own logo and terms.

If you move to Free later, nothing is deleted: old quotations and invoices stay, and customers can still pay them.
